What e-mail does SCMTR send me?

Every message this platform can put in your inbox, why you got it, and which ones you can stop. If you are asking because one did not arrive, skip to An e-mail from us has not arrived.

All of it goes to the address on your account — the one you sign in with. Capitals do not matter: Priya.Nair@example.com and priya.nair@example.com are one address and one account.

Which e-mails can I turn off?

Two: the weekly summary and the occasional tip. Nothing else, because nothing else is sent unasked — the rest are either a reply to something you did, or a notice about a filing of yours that something outside SCMTR has changed.

To stop the two:

    From the e-mail itself. Each carries a Stop these e-mails link in the footer, and the Unsubscribe button your mail client shows beside the sender works too. One click, no sign-in, no page to fill in.In the app. Settings → Weekly summary and occasional tips.

Turning them off does not affect sign-in links, invitations, CSN alerts, check replies or filing notices. There is no way to turn those off and keep an account working: a sign-in link is how you get in, and a filing notice is about your own consignment.

What are the weekly summary and the tip?

The weekly summary goes out on a Monday morning and says what you did in the week just ended — how many files you checked, and how many of them had problems flagged. It is sent only to people who actually used the product that week; a quiet week is no e-mail, not an empty one.

Both start from 23 September 2026 and only ever count what you have done since that day, so anything you checked before it is not in a summary and does not earn a tip.

The tip is sent once, ever. It goes to someone who checked their first file between two and fourteen days ago and has not started a filing here since — it describes the three steps after a check (fix it in the editor, download the corrected file, bring the acknowledgement back) and invites a reply. A reply is read by a person.

Neither goes to platform staff, and neither is sent to anyone who has turned them off.

What else does SCMTR e-mail me?

An invitation to join an organisationSomeone with admin rights in that organisation added your address. Sign in with that exact address: a new account joins at once; an account that already has an organisation is shown the invitation and what accepting does — see Your team.
"New sign-in to your SCMTR account"Your account was signed in to from a browser or phone it had not been used on before. If it was you, nothing to do; if not, sign that device out in Settings → Sign-ins. It cannot be switched off. See Signing in.
A CSN alertYou (or a colleague) chose to send a filed CSN to the shipping line, the CFS or your customer. See Sending a CSN to others.
A check reportYou e-mailed a file, or forwarded one of ICEGATE's refusal e-mails, to the checking address — or a forwarding rule sent one to your own checking address. See Checking files by e-mail.
"Got them — we are reading your bills", "… things the bills don't say", "Your checklist is ready"You e-mailed a master bill and its house bills to the bills address. The three answer under your own subject, in one conversation: the receipt, the questions only you can answer (with a link to the page that asks them), and the checklist to review and approve. "We couldn't finish reading your bills"The reading stopped on our side before the checklist was built. Your files are kept and the team is told; nothing to do unless you hear nothing within a working day.
"Answer on the page, not by e-mail"You replied to the questions e-mail with your answers in the text. Only the page takes answers; this carries a fresh link to it (the earlier one stops working).
"Sign in once, then send your bills again"Your account has not yet accepted SCMTR's terms, so nothing was kept or read. Sign in, accept them, send again.
"No bills we could read"Nothing PDF-shaped was attached, or every file was over the limit; each is named with why.
"Bills by e-mail is not on for you", "Which organisation?"The feature is not switched on for your organisation (or May file by e-mail is not ticked for you), or your account belongs to more than one organisation with it on. Each goes once a week at most to an address, not on every e-mail.
"Confirm your forwarding rule"Gmail asked to confirm a forwarding rule pointed at your own checking address, and the confirmation came to us, so we passed it on. Use Gmail's code or link in it if you set the rule up; ignore it if you did not. See Checking files by e-mail.
A reply to feedbackYou sent us a suggestion or a problem through the feedback button and a member of staff answered it.
A counterparty disagreementThe shipping line's manifest, or another filer's CSN, on the same master bill of lading differs from yours on a field that must match. The subject starts "Action needed" where customs has refused filings for that difference, "Check:" where it should match but has not been seen refusing; a difference customs allows is never e-mailed, and each other filing is e-mailed about once. The ship's call has changedCustoms' vessel-call list no longer shows the call your filing names, now shows one for a draft saved without a call, or has moved the expected arrival. See When the ship changes.
The filing notices go to the person who created the filing.

Does SCMTR e-mail me when the privacy policy or the terms change?

No. When a material change is made to the privacy policy or the terms, the next time you open any signed-in page SCMTR shows you what changed and asks you to accept it; you cannot carry on using it until you do. Nothing is sent to your inbox.

There was briefly an announcement e-mail, sent to every account holder, and it was withdrawn on 22 September 2026 — filers told us it was a nuisance. If you received one, the changes it listed are described on the privacy policy itself, under Changes, including the two that were withdrawn with the mail and never took effect.

Why is there a limit on invitations?

An organisation may send 20 invitation e-mails a day, from 20 per person, and at most two to any one address in a day. An organisation that has not yet filed, checked a file or been marked as established by us sends five a day, and one per address — enough to bring a team in, not enough for a script to use this platform to mail strangers.

If an invite is refused for the day, the invitation itself is unaffected: the person is still invited and can sign in with that address at any time. Only the convenience e-mail is held back. Send them the sign-in page and the address they were invited under, or try again tomorrow.

An e-mail from us has not arrived

Work down this list — the first two answer almost every case.

    Look in spam, and in the promotions tab. A first e-mail from a sender your mail server has not seen before lands there often.Check the address. An invitation only arrives at the exact address it was sent to, and a sign-in link only at the address you typed. priya@example.com and priya@example.co.in are different mailboxes; capitals are not a difference.Wait a minute for a filing notice or a summary. These are sent by a background job that runs every minute and paces itself; they are not instant, and the weekly summary only goes out on a Monday morning (India time).A sign-in link says we have sent as many as we can today. That is a platform-wide daily ceiling, not one on you. Signing in says what to do: sign in with Google or Microsoft instead, or try again after midnight UTC.Your mail server refused it. If a mailbox refuses our mail — an address that no longer exists, a mailbox over quota — we stop trying that address for a while, and stop altogether after a few refusals, so a dead address does not get retried every minute. Once the mailbox works again, ask a colleague to re-send the invitation, or ask for a fresh sign-in link, and it starts arriving again.Ask us. The feedback button inside the app reaches a person, and support can see whether the relay accepted a message for your address.

One thing we cannot see: whether an e-mail was delivered. Our relay accepting a message says it went out, not that it landed in your inbox. A filter, a full mailbox or a rejection further along the chain happens after that, and is invisible from here.

Can I reply to these?

    A tip, a check report or a reply to feedback — yes. Replies go to a person. To have another file checked, don't attach it to a reply: send it as a new e-mail to the checking address.A sign-in link, an invitation, a summary or a filing notice — a reply reaches the same place, but there is nothing automatic behind it; use the feedback button inside the app if you want an answer.A CSN alert — replies go to the colleague who sent it, not to us.A reply about bills you e-mailed — a reply with your answers in it gets a fresh link to the page that takes them; it does not take answers itself. Does SCMTR e-mail my customers?

Only when somebody here chooses to. A CSN alert is sent by a member of your organisation, to addresses they pick, and the reply address is theirs. Nothing else in the product mails anyone outside your organisation, except an invitation to an address an admin typed in.
